General

HQcoating recognises the importance of data protection and privacy of its customers and visitors on the website and will treat the personal data of the data subject with due care and only for the specified purposes. We optimally strive to be in line with the recent amendments and the European Regulation 2016/679 of 25 May 2018, as well as the Belgian law of 30 July 2018. This both in terms of processing and protection of personal data.

Personal data

You share data with us in various ways. We use data received from you as well as data we have collected. For example, data about your visit to our website. You are not required to give your personal data but you should be aware that providing certain services will not be possible if you do not agree to the processing of your data. You are the only one responsible for the accuracy of the data you provide to us.

Anonymous data

This is data you share with us without registration: browsing behaviour, origin, search terms. We use this data to maintain and improve our website. This means that we include personal data in anonymous statistics, from which the identity of specific individuals or companies cannot be traced, with the legal basis being HQcoating’s legitimate interests to continuously improve the website and service.

Cookies

The website also uses cookies that collect some personal data with the legal basis being your explicit, prior consent. We use this data to maintain and improve our website. For the provisions about the use of cookies, see the cookie policy.

Personal data you share with us

  • If you contact us via the website, you give us your email address.
  • If you want to request a quote via our website, we will receive your name, first name, email address, phone number.
  • As a client, customer, prospect, supplier or other business relation, we obtain your name, email address, telephone number, bank account number, address, possibly your company number and contact details.
  • If you become one of our business customers, you will receive a login for our web shop, for this purpose we store your email address, VAT number and contact details.
  • HQcoating does not process sensitive personal data.

Online data submission

To perform our services we need your name, email address, address(es), payment details and your phone number, for business customers we also ask for the company number. We need these for the performance and invoicing of services requested by you. The legal basis for processing this data is the agreement concluded for the provision of our services. We use the data to deliver the service, keep you informed about the requested service or contact you with questions or comments about the agreed service. The legal basis for this is the execution of an agreement that was concluded.

Customer testimonials

When you enter into an agreement with us, we will include the services provided in our portfolio, which we may display on our website and social media (facebook, Instagram and LinkedIn). The legal basis for this is the prior agreement you have entered into with us. We ensure that the photos we use are completely anonymous.

Subscribing to the newsletter

You can subscribe to our newsletters. When registering, we ask for your name and email address. This will keep you informed of special actions, promotions and the latest trends, and allow us to invite you to events. The legal basis for this is always your explicit, prior consent. You can withdraw your given consent at any time, by clicking „unsubscribe“ at the bottom of our newsletters.

If you enter into an agreement with us, we will keep you informed of our updated services and promotions through our newsletter. The legal basis for this is the prior agreement you have entered into with us.

Who has access to your data?

To process your personal data, we give our employees and appointees access to your personal data. Within HQcoating, data is only accessible to dedicated staff who must have access to it in function of their duties. We guarantee a similar level of protection by imposing contractual obligations on these employees and appointees, similar to this Privacy Policy.

We do not grant strangers access to your data and take appropriate technical and organisational measures to prevent this. If there has still been unauthorised access to your data, we aim to share this with you in full transparency.

We may also in rare cases transfer your data if we are required to do so by certain laws, regulations and/or case law. In some cases HQcoating may be required to disclose personal data pursuant to a court order or in order to comply with other mandatory laws or regulations. In this case, we will reasonably attempt to inform you of this in advance, unless legal restrictions are imposed.

HQcoating fully undertakes not to sell, distribute or transmit your personal data to other parties for commercial purposes without your express prior consent. We also require this from our external processors. Your personal data is extremely important to us and we expect the same from our external parties!

Retention period of your data

When you place an order, you will receive an invoice, which we will keep according to the legal retention period of 10 years.

If you make an enquiry/contact request, we will keep your data until you proceed to order, if you do not wish to place an order we will keep your data for 2 years.

Access, update or erase your data

When you are a prospect or customer of HQcoating, we store certain information. Therefore, you also have some rights regarding this data.

  1. Right of access and inspection

You have the right to access your personal data free of charge at any time, as well as to verify the use we are making of your personal data.

  1. Right to rectification, erasure and restriction

You are free to either or not disclose your personal data to HQcoating. In addition, you always have the right to request us to correct, supplement or delete your personal data. You may also request to restrict the processing of your personal data. You acknowledge that upon refusal of communication or request for erasure of personal data, certain services will not be available and that erasure or modification of personal data is not legally possible in some cases.

  1. Right to object

You also have the right to object to the processing of your personal data based on serious and legitimate reasons. In addition, you always have the right to object to the use of personal data for direct marketing purposes; in this case, you do not have to give any reasons.

You have the right to receive your personal data which are processed by HQcoating in a structured, commonly used and machine-readable format and/or to transmit those data to another controller.

Insofar as the processing is based on your prior consent, you have the right to withdraw that consent.

This request clearly states what you wish to know, correct or erase. This request must be signed and dated and include a copy of the front of your identity card. If these conditions are met, HQcoating will comply with your request and notify you as soon as possible.

If you exercise your right of inspection, HQcoating will provide you with the fullest possible overview of your data. Some personal data from classic backup files, log, history or archive files may not be included in this overview. These data are not part of the commonly processed personal data and are therefore not immediately available and cannot be communicated. They do get deleted from these files according to standard processes.

  1. Automatic decisions and profiling

The processing of your personal data does not include profiling and shall not be subjected to automatic decisions either.

  1. Right to lodge a complaint

You have the right to lodge a complaint with the Belgian Data Protection Authority (GBA)
